Privacy Policy

Office Stock (Pty) Ltd (“Office Stock”, “we”, “us”) is the responsible party for personal information processed through officestock.co.za, customer accounts, quotation requests, orders, support channels and related business operations. This notice is written in line with the Protection of Personal Information Act 4 of 2013 (POPIA).
Information we process
- Identity and contact details, including name, company, email, telephone and delivery address.
- Billing, delivery, order, quotation, return and warranty information.
- Account credentials and preferences. Passwords are protected and are not available to staff in readable form.
- Payment status and transaction references. Complete card details are handled by authorised payment providers and are not stored by Office Stock.
- Messages, uploaded lists and other information you choose to submit.
- Device, browser, IP address, cookie, consent and website-usage information where permitted.
Purposes and lawful processing
We process information for defined lawful purposes, including preparing quotations, processing orders and payments, arranging delivery, managing accounts, returns and support, preventing fraud, complying with financial and legal duties, improving services, and sending marketing only where lawful.
Operators and sharing
We share information only where necessary with operators such as Shopify, payment processors, couriers, suppliers, IT, hosting, analytics and professional advisers, or where law requires it. Operators must process information under our instructions and apply appropriate safeguards. Some suppliers may contact you directly to schedule delivery or resolve an order.
Cross-border processing
Some technology providers may process or store information outside South Africa. Where POPIA section 72 applies, we use an adequate legal framework, binding agreements or another lawful safeguard, or obtain consent where required.
Retention and security
We keep information only as long as its purpose, a contract, dispute, fraud prevention or South African record-keeping law requires, then securely delete, destroy or de-identify it where reasonably practicable. We apply reasonable technical and organisational safeguards. If a compromise creates a reportable risk, we will notify the Information Regulator and affected data subjects as POPIA requires.
Your POPIA rights
Subject to applicable law, you may ask whether we hold your personal information; request access, correction, updating, deletion or destruction; object to processing in prescribed circumstances; withdraw consent; object to direct marketing; and complain to South Africa’s Information Regulator. We may verify your identity before acting.
Marketing and cookies
Marketing messages include a practical opt-out. You may unsubscribe at any time. Essential order or account messages are not marketing. Cookies and similar technologies are used as described by our cookie controls and policy.
Children and changes
Our services are not directed to children, and we do not knowingly collect children’s information without a lawful basis. We may update this policy prospectively and will publish the revised version and date.
