1. Access to information and personal information
PAIA gives effect to the right of access to records held by a private body where the record is required to exercise or protect a right. POPIA provides separate rights relating to personal information, including access, correction, deletion, objection and complaints, subject to the Acts’ conditions and exceptions.
2. Main categories of records
- company, supplier, product and operational records;
- customer accounts, quotations, orders, invoices, delivery and support records;
- financial, tax, statutory and contractual records;
- employee and contractor records protected by applicable law; and
- website, security, consent and communications records.
Listing a category does not mean every record exists or must be disclosed. PAIA grounds for refusal, third-party rights, legal privilege and POPIA safeguards continue to apply.
3. How to submit a request
Send the prescribed form or a clear written request to privacy@officestock.co.za or sales@officestock.co.za. State whether the request is under PAIA or POPIA, identify the record or personal information, explain the right to be exercised or protected where PAIA requires it, and specify the preferred access method.
Current guides and prescribed forms are available from the Information Regulator’s PAIA resources.
4. Identity, fees and response timing
We may request reasonable proof of identity or authority to protect the requester and third parties. PAIA request and access fees may apply at prescribed rates, except where an exemption applies. We will acknowledge a complete request, communicate any required fee and respond within the statutory period, subject to a lawful extension.
5. Complaints and the Information Regulator
If you are dissatisfied with the handling of a request, contact Office Stock first so the matter can be reviewed. You may also complain to the Information Regulator or approach a competent court as the law permits. Current regulator contact details are published at inforegulator.org.za.
This web page is a practical request guide. Any formal PAIA manual approved for Office Stock will remain the authoritative company manual where PAIA requires one.
